AI receptionist or live answering service: what does your firm actually need?
Choosing a service

The wrong comparison starts with ‘Which one is cheaper?’ The useful comparison starts with ‘What must happen after the phone rings?’ A law firm may need a name and message, a scheduled consultation, a structured Personal Injury intake, a live transfer, or immediate human judgment. Those are different jobs.
A live answering service
A live service puts a person in the first conversation. That can be valuable when callers are distressed, the situation is unusual or the firm wants human judgment at the front door. Quality can vary by training, staffing, language coverage and how much legal context the service is allowed to use. A live agent still needs a script, routing rules and a reliable handoff. ‘Human’ does not automatically mean complete or consistent.
A generic AI receptionist
A generic AI receptionist can greet, capture contact details, answer approved office questions and schedule. It can be fast and consistent, but a broad prompt is not a safe legal-intake system. If the workflow is allowed to improvise questions or decide what matters, the firm has traded voicemail for a different kind of risk.
A managed intake workflow
A managed workflow combines a controlled question path, firm-approved language, bilingual testing, routing, CRM delivery and human takeover rules. The conversation may sound natural, but the workflow—not the model—decides what is allowed next. The useful output is an organized intake record and a clear owner, not simply a transcript.
Compare the operating details
Empathy: Who handles a frightened or angry caller, and when does a person take over?
Consistency: Are required questions and disclosures asked the same way across shifts and languages?
Judgment: Which decisions always remain with the firm?
Handoff: Does a failed transfer create a callback task, or does the caller disappear?
Record: Does the team receive structured facts, missing information and a next action?
Integration: Does the record arrive in the system the team actually uses?
Evidence: Can the vendor show test results and current capability status rather than a logo wall?
Cost: Are included minutes, overage, setup, messaging and human support clear?
The practical answer
Many firms need a hybrid. Standard calls can follow a controlled automated path. Sensitive, unusual or high-priority conversations should move to a person under rules the firm approved. The best choice is not the technology with the loudest label. It is the smallest reliable operating model that produces the next action your team needs.
